This Privacy Policy explains how "Parrot Interview" collects, uses, stores, shares, and protects personal data when you use Parrot Interview, including the website, web dashboard, desktop copilot, and related services (the "Service"). This policy is written with Indian privacy requirements, including the Digital Personal Data Protection Act, 2023 and applicable rules, in mind.

1. Who we are

For the purposes of Indian data protection law, "Parrot Interview" is the Data Fiduciary for personal data processed through the Service. You are the Data Principal when the personal data relates to you.

2. Purpose of the Service and responsible use

"Parrot Interview" is designed for lawful interview preparation, authorised coaching, mock interviews, resume practice, and personal skill improvement. It is not intended for cheating, impersonation, deception, unauthorised recording, bypassing the rules of an interview or examination, or any other unlawful or dishonest use.

You are responsible for checking the rules of any interview, assessment, employer, recruiter, institution, or platform before using the Service. We may suspend or terminate access, delete unlawful content, preserve limited records, or cooperate with lawful requests where we reasonably believe the Service is being misused.

3. Personal data we collect

Account and sign-in data

If you sign in with Google, we receive your email address, name or profile details made available by Google, and a Google account identifier. We use this data to create your account, authenticate you, and protect your session. We do not receive your Google password.

Subscription and billing data

Payments are processed by Razorpay or another payment provider we identify at checkout. We do not store your card number, UPI PIN, bank password, or full payment instrument details. We store subscription status, plan details, payment provider identifiers, invoices or payment status where available, and related billing metadata needed to provide paid access and handle support.

Bring-your-own AI API keys

If you add an OpenAI, Anthropic, or other supported provider API key, we store it in encrypted form. We decrypt it only in memory when needed to process your request with that provider. We show only masked key metadata in the dashboard and do not intentionally log your full key.

Resume, CV, prompts, and interview content

If you upload a resume or CV, provide prompts, generate practice material, submit screenshots or audio, or use live transcription, we process that content to provide the requested feature. This may include extracted resume text, target role, interview questions, AI prompts, AI responses, transcript segments, session timestamps, and session history.

Device, usage, and security data

We may process IP address, device and browser information, app version, log timestamps, request metadata, error data, cookie/session identifiers, and similar technical information to operate the Service, prevent abuse, improve reliability, and protect accounts.

4. How we use personal data

We process personal data only for lawful and specified purposes, including to:

  • create, authenticate, and secure your account;
  • provide the dashboard, desktop copilot, transcript review, and preparation tools;
  • process subscriptions, cancellations, refunds, invoices, and billing support;
  • send your prompts, transcript context, screenshots, audio, or resume context to your chosen AI provider;
  • send audio to speech-to-text providers when live transcription is enabled;
  • store your resume, keys, subscription status, and session history as selected by you;
  • respond to support, privacy, legal, security, and grievance requests;
  • detect, prevent, and investigate fraud, misuse, security incidents, and policy violations;
  • comply with applicable law, lawful orders, tax, accounting, and regulatory obligations.

5. Consent, withdrawal, and legitimate uses

Where consent is required, we ask for consent through product actions such as signing in, adding an API key, uploading a CV, starting transcription, submitting a prompt, or subscribing. You can withdraw consent by stopping the relevant feature, deleting stored content where the dashboard allows it, cancelling your subscription, or contacting us.

Some processing may continue without fresh consent where permitted by law, such as providing a service you requested, enforcing our legal rights, preventing fraud or security threats, complying with law, maintaining business records, or responding to lawful authorities.

6. AI providers and third-party processors

We use trusted third-party services to operate the Service. Depending on the feature you use, personal data may be shared with:

  • Google for sign-in and identity verification;
  • Razorpay or another payment provider for subscription billing;
  • Deepgram or another speech-to-text provider for transcription;
  • OpenAI, Anthropic, or your selected AI provider for AI responses, using the API key you provide where applicable;
  • Supabase, database, hosting, logging, email, and security providers for storage, hosting, support, reliability, and abuse prevention.

These providers process data under their own terms and privacy policies. We do not sell your personal data.

7. Cross-border processing

Some providers or infrastructure may process data outside India. Where personal data is transferred or processed outside India, we use service providers and safeguards intended to protect the data in line with applicable Indian law and any restrictions notified by the Government of India.

8. Cookies and session security

We use cookies and similar technologies only as needed for authentication, session management, security, and service operation. We do not use sensitive interview content for advertising cookies.

9. Retention and deletion

We retain personal data only for as long as needed for the purposes described in this policy, unless a longer period is required for legal, tax, accounting, fraud-prevention, dispute, or security reasons.

  • You can remove API keys and CV data from the dashboard where available.
  • Session history and transcripts are retained for account review unless deleted or deletion is requested.
  • Billing records may be retained for statutory, tax, accounting, and dispute purposes.
  • Security logs may be retained for a limited period to detect abuse and protect the Service.

10. Security measures

We use technical and organisational safeguards designed to protect personal data, including TLS for data in transit, encrypted storage for sensitive keys, access controls, server-side authorisation, logging controls, and redaction of sensitive values where practical. No system can be guaranteed completely secure, but we work to reduce risk and respond responsibly to incidents.

11. Data breaches

If we become aware of a personal data breach, we will assess it, take reasonable mitigation steps, and provide notifications to affected users and/or the Data Protection Board of India where required by applicable law.

12. Your rights

Subject to applicable law, you may request access to information about your personal data, correction of inaccurate or incomplete data, erasure of personal data, withdrawal of consent, grievance redressal, and nomination of another person to exercise your rights in case of death or incapacity.

13. Grievance redressal

If you have a privacy concern, first contact our grievance contact at support@parrotinterview.com. Please include your account email and a clear description of the issue. We will review and respond in accordance with applicable law. If you are not satisfied, you may have the right to approach the Data Protection Board of India once the applicable process is available.

14. Children

The Service is intended for adults and is not directed to children under 18 years of age. We do not knowingly collect personal data from children. If you believe a child has provided personal data, contact us and we will take appropriate steps. Users under 18 may use the Service only where allowed by law and with verifiable parental or guardian consent where required.

15. Your responsibilities

You must provide accurate information, keep your account secure, avoid uploading other people's personal data without authority, obtain any required consent before recording or transcribing a conversation, and use the Service only for lawful, authorised, and honest purposes.

16. Changes to this policy

We may update this policy from time to time. If the changes are material, we will take reasonable steps to notify users, such as updating this page, changing the last updated date, or providing an in-product notice.
